Wellness Business Taxes

Books and tax filings for health and wellness businesses, in the East Bay or remote.

A wellness studio desk with appointment cards turned face down

Studios, clinics, and wellness practices usually mix membership income, contractor payments, and supplies. We book that activity and prepare the return from the records you provide.

We do not handle patient charts or medical billing advice. Tax and bookkeeping meetings are by appointment in San Pablo or Concord, or remote.

Services that usually fit

Documents to start

  • Membership or billing deposits
  • Contractor payments and W-9s you collected
  • Supply receipts
  • Prior-year return
  • Payroll reports if you have employees

Your chart of accounts, built for health and wellness

Stanza creates and maintains a chart of accounts so the deductions you are allowed to claim are identified and documented.

We set up income, cost of goods or job costs, and expense accounts organized around this industry’s deductible categories and the tax form lines they map to (Schedule C, or Form 1065 or Form 1120-S when the business files as a partnership or an S corporation). Sub-accounts separate items with a special tax treatment, so a repair is not mixed with a capital purchase and a liability is not booked as an expense.

  • Continuing education

Courses that maintain or improve the skills you already use in this practice are generally deductible. A course that qualifies you for a new profession is treated differently.

  • Licenses

Professional license renewals are generally deductible fees. A penalty for filing late is not the same as the fee.

  • Equipment

Treatment tables, machines, and similar equipment are usually capital assets. Small instruments may be supplies. Section 179 or depreciation may apply to the asset when the rules are met.

  • Malpractice insurance

Malpractice premiums for the practice are generally an ordinary business expense. A personal policy that is not for the practice is not.

  • Clinical supplies

Consumable supplies are current expenses. They stay apart from equipment you capitalize.

  • Office or room rent

Rent for the office or room is generally deductible. It is not a commission and it is not wages.

  • Practice software

Scheduling and records software used in the practice is generally a business expense. Personal subscriptions stay out.

  • Professional dues

Dues to a professional association for this practice are generally deductible.

How it is managed

  • Each month we categorize transactions and reconcile the accounts to the bank.
  • Receipts and mileage stay with the transactions they support.
  • Personal spending stays out of the business accounts.
  • Capital purchases are reviewed against repairs before anything is expensed.
  • Vendors are tracked so a Form 1099 can be prepared when a form is required.
  • A quarterly review of profit can be used to adjust estimated tax payments when those payments apply.
  • At year end we review the accounts with the preparer so deductions are captured and the records support them.

Whether a deduction is allowed depends on your facts and on IRS and FTB rules. We help you claim what you are entitled to and keep records that support it. We do not guarantee savings or a dollar amount.
